How to Stay Organized and On Top of Your Game as a Real Estate Agent

It can be hard to stay organized as a real estate agent when there are always a million things fighting for your attention. Sometimes your days can feel extremely overwhelming. Between meeting with clients, running open houses, getting contracts signed, and following up on all of your calls and emails the day flies by. With so many moving parts in place, it’s so important to stay organized. We know it’s sometimes hard to find a place to start, so we did the work for you. Here are a couple of the best tips and tricks on how to stay on top of your real estate game!

Document Everything - Always have paper and digital copies

This might seem like a very simple and straightforward tip but you would be surprised by how overlooked it gets. It’s completely possible (and understandable) to lose track of a document or two when you’re responsible for so many! That’s why it’s important to keep a digital copy as well as a paper copy on file. Documenting everything digitally that comes your way is the perfect way to alleviate any stress. Instead of wasting time looking for a form or paper in person you can just look it up on your computer or phone and have it ready in an instant. It’s now easier than ever to scan physical documents into ‘the cloud’ from your smartphone (free scanner apps are your friend). Having access to all of your documents digitally is truly a lifesaver. It also makes life easier for your clients since everyone now prefers to do business online or virtually!

Use a Quality CRM System

There are a lot of benefits to having a CRM and our favorite is for the organization. A CRM allows you to keep track of all of the information you’ve received from a current and prospective client. With just a couple of clicks, you can look up any client’s contact information and view their activity. A CRM organizes any and all information for you so you don’t have to rely on pure brainpower alone. A CRM can also automate tasks and workflow such as follow-up messages and emails. Some CRMs, like PropertySimple’s, will even record and transcribe all of your calls so you can easily review them later. It’s impossible to not be on top of your tasks when you have software that does it all for you!

Consider Hiring a Personal Assistant

Sometimes being organized is too much of a struggle. It’s ok to recognize and admit that being organized is not your strong suit. If you are more interested in focusing on networking, building client relationships, and racking up new business - that’s great! It’s a great idea then to invest in hiring a personal assistant who will take care of all the administrative work for you. Although it might seem like a pretty steep investment, that’s necessarily true. At the end of the day, hiring someone to help can double productivity and increase sales. If someone else is helping to organize your marketing, schedule meetings, and respond to messages, you have extra time to get more commission and grow your business. By focusing on the parts of the real estate job you truly enjoy, you'll have a better work-life balance, feel more efficient and satisfied with your career.

Moral of the story - consistently saving organized no matter how you slice it actually saves you time and money. It actually will help you make even more money! Implementing certain systems whether it be digitalizing all of your documents or investing in a simple CRM (no need to get too fancy if you don’t have to) is guaranteed to have you feeling more efficient and professional. Spend more time closing those deals and spend less worrying about where you filed that last document or which message you need to follow up on. Staying organized will set you up on an automatic path to real estate success!
